This Privacy Notice explains how Wilburn Enterprises LLC ("we", "us", "our"), the entity behind Wilburn OneOS, collects and processes personal data. Wilburn Enterprises LLC acts as the data controller for personal data collected through Wilburn OneOS.
Personal data we collect
- Account data: name, email, login credentials, workspace and profile settings.
- Customer content: data you or your team submit into projects, tasks, CRM records, and integrations.
- Support data: messages, attachments, and correspondence you send to us.
- Usage & telemetry: feature usage, product events, device identifiers, browser data, and IP address.
- Marketing data: preferences and interactions with our communications (where you have opted in).
Purposes and legal bases
- Providing, operating, and securing Wilburn OneOS — performance of a contract.
- Account creation, authentication, and customer support — performance of a contract.
- Fraud prevention, abuse detection, and service integrity — legitimate interests.
- Product analytics and improvement — legitimate interests.
- Marketing communications — consent, which you can withdraw at any time.
- Compliance with tax, accounting, and other legal obligations — legal obligation.
Payment card data and billing details are collected and processed by Paddle (see "Data sharing" below); we do not store payment card numbers on our systems.
Data sharing
- Paddle — our order process is conducted by our online reseller Paddle.com. Paddle is the Merchant of Record for all our orders and handles payments, subscription management, invoicing, tax compliance, and refunds. Paddle receives the personal data needed to complete your purchase (name, email, billing address, and payment details).
- Service providers / subprocessors: hosting, email delivery, analytics, customer support, and error monitoring vendors that process data on our behalf under written data protection terms.
- Professional advisers: legal, accounting, and audit advisers where necessary.
- Authorities: where required by law, court order, or to protect rights and safety.
International transfers
Where personal data is transferred outside your country, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions where available.
Data retention
We keep personal data only for as long as needed for the purposes it was collected: account data for the life of your account and up to 24 months after closure; billing and tax records for the period required by applicable law (typically 7 years); support records for up to 3 years; product telemetry in aggregated or anonymised form thereafter. When data is no longer needed, it is deleted or anonymised.
Your rights
Subject to applicable law (including the UK GDPR and EU GDPR where relevant), you may request access, rectification, erasure, restriction, portability, or to object to processing, and you may withdraw consent at any time. You have the right to complain to your local supervisory authority. We will respond to verified requests within one month. Contact us at privacy@wilburn.example.
Security
We apply appropriate technical and organisational measures, including encryption in transit, access controls, least-privilege permissions, and monitoring, to protect personal data against unauthorised access, alteration, disclosure, or destruction.
